Who we are

LeafletPlan is a service of Meridian Health Systems Ltd (“LeafletPlan”, “we”, “us”), a company registered in England and Wales. These terms form a contract between us and the organisation or individual that opens an account (“you”). By creating an account, subscribing, or sending a leaflet you agree to these terms; if you are accepting on behalf of an organisation, you confirm you are authorised to bind it.

The service

LeafletPlan is a subscription service for creating and sending digital patient information leaflets during clinical consultations, with an engagement and audit record of every send. Features, templates, and limits may change as the product develops; we will not materially reduce the core service you are paying for during a paid term without notice.

Accounts

You are responsible for keeping account credentials secure and for activity carried out under your account and by the team members you invite. Tell us promptly at security@leafletplan.com if you believe an account has been compromised.

Subscriptions and plans

LeafletPlan is offered on two arrangements, with prices confirmed before you subscribe.

• Solo: a self-serve subscription taken out online through our secure checkout. Each team in your organisation is priced by the number of members with the Sender role, and your organisation pays the sum of its teams. You choose monthly or annual billing and can switch cadence at any time.
• Enterprise: an annual agreement for multi-team organisations, invoiced quarterly. Where a signed Enterprise order form or contract conflicts with these terms, that agreement prevails for that customer.

Billing and payment

Payments are handled by our third-party payment provider, a PCI-DSS-compliant processor. Card details are handled by that provider and are never stored on LeafletPlan's systems. Standard subscriptions are charged in advance for each billing cycle. When you add or remove senders and a team crosses a pricing tier, we prorate the difference on your next invoice.

Taxes

Standard prices are shown inclusive of any applicable UK VAT. The amount you see is the amount you pay. Enterprise invoices state any VAT separately in line with UK tax rules.

Renewal, cancellation, and refunds

Standard subscriptions renew automatically at the end of each billing cycle until cancelled; you can cancel at any time from the billing settings in the app, and Enterprise agreements renew and cancel on the terms of your contract. When you cancel, access continues until the end of the period you have already paid for, and leaflets you have already sent (with their audit records) are retained in line with your agreement and our Privacy Notice. Fees already paid are non-refundable except where the law requires otherwise or we have expressly agreed, and we give reasonable advance notice before any price change takes effect. If a payment fails, we may retry it, charge interest on overdue amounts, and suspend or terminate the subscription until payment is resolved.

Acceptable use

Don't submit other people's email addresses without their permission. Don't attempt to disrupt, scrape, reverse-engineer, or otherwise abuse the service, and don't use it to send content that is unlawful, or that you are not entitled to send.

Patient consent and clinical responsibility

By using LeafletPlan to send a leaflet, you confirm that you have the patient's consent to send clinical information to the email address or number you provide, and that you remain responsible for obtaining and recording that consent in line with your professional obligations. LeafletPlan supports patient communication; it does not replace your clinical judgement, and the care you provide remains your responsibility.

Your data

How we handle account, billing, and patient information is described in our Privacy Notice. For patient information processed through the service, you are the controller and we act as your processor on your instructions.

Anonymous Information

“Anonymous Information” means information derived from use of LeafletPlan that cannot reasonably be used to identify any person or customer.

As between you and LeafletPlan, LeafletPlan owns all right, title and interest in Anonymous Information. We may create, combine, use, retain, and provide it for any lawful purpose, during and after your subscription.

You may use Anonymous Information made available to you through the service.

Service availability

We work to keep LeafletPlan available and reliable, but the service is provided on an “as available” basis. We may carry out maintenance and cannot guarantee uninterrupted or error-free operation. Any specific availability commitments apply only where stated in an Enterprise agreement.

Liability

Nothing in these terms limits liability that cannot lawfully be limited, including for death or personal injury caused by negligence, or for fraud. Subject to that, we are not liable for indirect or consequential loss, and our total liability arising from the service is limited to the fees you paid in the twelve months before the claim.

Changes to these terms

We may update these terms from time to time. If a change is material we will give notice (for example, by email or in the app) before it takes effect. Continuing to use LeafletPlan after a change takes effect means you accept the updated terms.

Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them.
